BACKGROUND

Ungweru Organisation is a Malawian non-governmental organisation committed to promoting human rights, advocacy, access to justice, and sustainable community development. To strengthen our operational systems and income-generating services, we are seeking a dynamic and hands-on Operations & Support Services Coordinator.

Role Purpose

The Operations & Support Services Coordinator will oversee and coordinate day-to-day support services and income-generating activities at Ungweru Organisation. This is a practical, hands-on role requiring a reliable, flexible, and service-oriented individual capable of managing facilities, logistics, basic administration, and client-facing services while contributing to organisational sustainability and growth.

Key Responsibilities

  1. Facilities & Asset Management
  • Coordinate maintenance of offices, hostel, meeting rooms, and grounds
  • Supervise gardening and cleanliness services
  • Identify maintenance needs and liaise with service providers
  • Ensure proper care and usage of furniture and equipment
  1. Hostel, Meeting Room & Chair Hire Management
  • Advertise available services
  • Manage bookings and client communication
  • Prepare facilities before and after use
  • Maintain accurate booking and income records
  1. Canteen Coordination
  • Oversee daily operations
  • Monitor stock and basic procurement
  • Ensure hygiene and customer satisfaction
  1. Front Desk & Reception Services
  • Welcome visitors and respond to enquiries
  • Handle basic administrative tasks
  • Serve as a key contact point for clients and partners
  1. Finance & Banking Support
  • Conduct banking errands as assigned
  • Maintain simple income records
  • Support accountability in cash handling
  1. Logistics & Messenger Duties
  • Handle official deliveries and collections
  • Support event and meeting logistics
  1. Transport & Mobility
  • Drive organisational vehicles
  • Operate a motorbike for official duties
  • Ensure responsible vehicle usage and maintenance
  1. Innovation & Growth Support
  • Propose ideas to improve service delivery and income generation
  • Support branding and visibility of services
  • Contribute to long-term sustainability efforts

Required Qualifications & Skills

Essential

  • Minimum MSCE (relevant certificate or diploma is an added advantage)
  • Valid driver’s license for both car and motorbike
  • Computer literacy (MS Word, Excel, email, internet)
  • Strong organisational and multitasking skills
  • Good communication and interpersonal skills
  • Honest, reliable, and self-motivated

Working Conditions
